Why is specification important when conveying information?
Remember playing catch with your friend? You throw a ball back and forth at a person. Anticipate throwing a clay ball at a friend. Does the shape of the clay ball remain the same as what you threw? Or has it changed a bit?
The answer is No! The shape of the clay ball isn’t the same. Every time you get the clay ball, its shape changes slightly. The same happens when you convey not-so-specific information to another person. You speak nice and crisp, but the other person might perceive it from his perspective. The perspective varies from person to person based on their mindset, beliefs, pre-assumptions, emotional state, and so on.
It is therefore essential to provide clear instructions while communicating with others. To ensure there is no room for misunderstanding or alteration of messages, here are the 7 C’s of communication that you must follow:
1. Clear: Provide information that is crisp and clear, making it easier to understand each word.
2. Correct: The provided Information must be double-checked and isn’t incorrect.
3. Concrete: The information should be based on sure facts or existing things rather than guesses or theories.
4. Complete: The information should have enough details to avoid any assumptions.
5. Concise: A complete information should be provided using only a few words.
6. Coherent: The information should make sense and be logical.
7. Courteous: Provide information while showing respect to other people.
The next time you convey any information to the other person, make sure the specification you provide is based on the 7 C’s of communication because effective communication reduces the risks of misinterpretation and enhances relationships.
